As the Materials Manager at Greenhouse, you are responsible for the coordinated movement and flow of raw materials and finished goods between our facilities, ensuring the right materials are in the right place at the right time to support manufacturing operations and fulfill customer orders. Your role is central to connecting supply chain and production, enabling seamless operations across all sites as Greenhouse continues to scale at a rapid pace.
You lead the materials coordination team, manage inter-facility transfers, and maintain accurate inventory records across locations. With Greenhouse experiencing 50% year-over-year growth and an ERP system with barcode-based inventory management on the horizon, you will play a key role in building the processes and disciplines that will carry us through our next phase of growth. By proactively planning material movements and collaborating closely with production, supply chain, and logistics teams, you ensure that manufacturing has what it needs to operate efficiently while customer commitments are consistently met.
Key Performance Outcomes:
Transfer Accuracy: Achieve and sustain 99% accuracy on all inter-facility raw material and finished goods transfers.
Inventory Accuracy: Maintain 98% inventory accuracy across all facilities at all times, minimizing discrepancies and supporting the perpetual inventory system.
Production Material Availability: Ensure 98% on-time raw material availability to meet production schedules, minimizing line stoppages due to material shortfalls.
Customer Order Fill Rate: Support a 98% or higher customer order fill rate through accurate and timely positioning of finished goods.
Safety Incidents: Maintain zero safety incidents annually, fostering a proactive safety culture within the materials team.
Budget Adherence: Manage inter-facility transfer and materials handling costs within the approved budget.
Statement of Work & Responsibilities:
Inter-Facility Materials Coordination
Plan and execute the movement of raw materials and finished goods between Greenhouse’s facilities to support production schedules and customer order fulfillment.
Develop and maintain transfer schedules that anticipate manufacturing needs and minimize production interruptions.
Coordinate closely with Plant Managers and production teams at all sites to ensure material availability aligns with production plans.
Manage all inbound and outbound inter-facility transfer transactions in the inventory management system, ensuring accuracy at every touchpoint.
Communicate proactively with production and supply chain teams regarding material availability, pending transfers, and any potential shortfalls.
Inventory Management
Maintain accurate, real-time inventory records across all facilities, reconciling discrepancies promptly to preserve data integrity.
Monitor raw material and finished goods stock levels at each facility, identifying imbalances and coordinating rebalancing or replenishment as needed.
Oversee regular cycle counts and physical inventory counts to support and validate the perpetual inventory system.
Ensure compliance with inventory processes and controls to achieve and maintain high accuracy levels across all inventory categories.
Support the implementation of Greenhouse’s upcoming ERP and barcode-based inventory system, including participation in process design, data integrity preparation, and team readiness for go-live.
Production Support
Collaborate with production planning to understand near-term and long-term material requirements at each facility.
Provide timely visibility into material positioning and transfer lead times to support production scheduling decisions.
Identify and escalate raw material availability risks before they impact production, working cross-functionally to resolve issues quickly.
Logistics and Transportation Coordination
Coordinate transportation resources for inter-facility transfers, ensuring cost-effective and reliable movement of materials.
Partner with the Logistics Manager and third-party transportation providers as needed to execute transfers efficiently.
Maintain accurate vehicle and transport records related to inter-facility material movements.
Team Leadership
Lead, coach, and develop the materials handling team across all facilities, setting clear performance expectations and fostering a culture of accountability.
Recruit, hire, and train materials coordinators and warehouse associates to support operational goals.
Conduct regular check-ins with the team to ensure processes are being followed and issues are escalated and resolved in a timely manner.
Process Improvement & Systems Readiness
Continuously evaluate inter-facility transfer processes and identify opportunities to reduce lead times, minimize handling costs, and improve accuracy.
Build and document scalable materials management processes capable of supporting Greenhouse’s rapid growth trajectory.
Lead the materials team’s transition to the new ERP and barcode-based inventory system, championing adoption and ensuring processes are designed to take full advantage of the new tools.
Utilize data and reporting to surface inefficiencies, identify trends, and drive ongoing improvements across materials operations.
Safety and Compliance
Ensure all materials handling activities comply with health, safety, and sanitation regulations at all facilities.
Promote a proactive safety culture within the materials team, maintaining a zero-incident standard.
Desired Skills and Experience:
Years of Experience: Minimum 3–5 years of experience in materials management, supply chain, or warehouse operations, including supervisory roles.
Materials Management: Demonstrated experience managing materials flow and inventory across multiple locations in a manufacturing or food production environment.
Inventory Systems & ERP: Proficiency with inventory management systems; experience with ERP platforms and barcode-based inventory systems is a strong asset. Greenhouse will be implementing a new ERP and barcode system, and the ideal candidate is excited to help lead that transition.
Leadership: Proven ability to lead and develop teams, driving accountability and high performance in a fast-paced environment.
Analytical Skills: Detail-oriented with the ability to use data and reporting to manage inventory accuracy and identify process improvements.
Communication: Strong interpersonal and communication skills, with the ability to collaborate effectively across production, supply chain, logistics, and leadership teams.
Problem-Solving: Skilled at identifying root causes of materials or inventory issues and implementing effective, timely solutions.
Adaptability: Thrives in a high-growth, fast-paced environment, managing competing priorities and adjusting plans as production and customer needs evolve. Comfortable building structure and process in an environment that is scaling rapidly.
Forklift Certification: Preferred.
