Job Description: Executive Assistant to the Chief Growth Officer and Chief Marketing Officer
Location: South Brunswick, NJ
Are you eager to dive into a fast paced and dynamic environment, supporting two leaders with key global responsibilities We are looking for a dynamic and energetic Executive Assistant to join us at our South Brunswick office., where you will gain invaluable exposure to our Growth and Marketing organization who are responsible for driving key transformational projects across our global business. In this key role, you will be our right hand, Regional President, supporting day to day as well as taking on existing project management responsibilities within the department. You will manage everything from travel, expenses, and scheduling to contributing to event planning, presentation development, data analytics to owning the event calendar for the teams. Working in a collaborative team environment, you will partner seamlessly across the global functions of marketing.

As an Executive Assistant, you will be responsible for…
• Master calendar management: coordinating and scheduling internal and external meetings, along with resolving any conflicts, and working with the local facilities team and those in other locations to ensure seamless execution of face-to-face meetings
• Coordinate meetings: book conference rooms, confirm attendees, catering, agendas, IT, and prepare any meeting materials, and follow-ups
• Support Marketing Leadership team with key projects as assigned
• Build strong relationships and trust across teams in all geographies, which also includes EAs in other regions/locations.
• Ensure 2 execs are prepped and prepared for all meetings and support debrief, and follow up action item collection and execution
• Manage complex international travel cost-effectively and complete expense reports
• Resolve inquiries with appropriate team members and ensure timely response to urgent issues
Required Skills:
• Excellent interpersonal, written, and verbal communication skills, build relationships and trust
• Advanced skills with Microsoft Office (Word, Excel, PowerPoint, Teams, Showpad)
• Ability to manage multiple high-level projects at one time and prioritize activities appropriately
• Ability to demonstrate composure and self-confidence in demanding situations
• Self-starter mindset with a hunger to learn and execute with excellence.
• Discretion with sensitive and confidential information
• Exceptional organizational skills; experience coordinating projects, setting priorities, meeting deadlines, and following up on assignments with minimal direction
• Self-starter; the ability to work with minimum supervision
• Ability to learn quickly in an environment where all the information may not be clear
• Strong people skills and the ability to build relationships with stakeholders, including peers, and the facilities team, i.e, catering and IT
Required Experience:
• Bachelor’s degree
• Experience supporting executives with global roles
• Proven track record of managing complex international travel
• Experience / consistent performance in a deadline-oriented environment due to tight time restraints and volume of work
• Bonus would be to have already supporting marketing or commercial functions, which require agility and a strong professional and personal touch
