Job Description Summary:
Our Sales & Marketing Operations Coordinator is responsible for Office Management, Sales and Marketing operational support, and Event Management.
This role reports into the Marketing Manager and works closely with Sales and Marketing teams to support commercial activity across the enterprise.
Location: The Cocojune corporate office, NYC
Areas of Responsibility:
Office Management
Serve as the primary point of contact for all office-related tasks, including:
Trade show materials and stock inventory
General office organization and upkeep
Ordering and restocking office goods (paper towels, printer paper, ink, yogurt, mini fridge beverages)
Coordinate ad hoc shipments in support of events, merchandise fulfillment, and other office initiatives.
Receive and manage incoming deliveries (e.g., Amazon/Rainforest shipments).
Manage Holiday and Event Calendar
Assist with team/office event coordination (holiday week, team breakfasts, happy hours etc) as needed.
Sales Support
Manage Promotional Database and New Item Tracker
Create and submit Promotional contracts and new item forms (excel and customer portal submissions)
Data synchronization platform management (1WS, Data Council, NIQ Brandbank, SPINS, IX-One, etc.)
Review Customer Inventory weekly, and provide visibility to Sales and Ops management
COI creation for customers
Manage Tradeshow calendar, and assist with event coordination
Keep Spec Sheets up to date for label changes
Marketing Support
Merch
Source and vet vendors for branded merchandise, evaluating cost, quality, and production timelines.
Coordinate merchandise design development in partnership with graphic designer, ensuring designs align with project timelines.
Track and confirm merchandise orders through fulfillment, ensuring accurate quantities and on-time delivery.
Partnerships
Monitor and review the partnerships inbox daily, organizing incoming inquiries into structured folders by type and priority.
Identify high-potential partnership opportunities to the Marketing Manager.
Manage initial communication with 3rd parties to develop pricing and details for review by marketing manager
Printed Materials
Manage print orders for marketing collateral, including proofing, vendor coordination, and budget tracking.
Coordinate delivery and/or pickup logistics to ensure materials arrive where and when needed.
Social Media
Schedule cross-posting of content to Facebook and TikTok.
Compile bi-weekly competitive intelligence reports.
Events
Review and vet inbound event requests to determine brand fit, resource requirements, and strategic value for marketing events.
Manage initial communication with 3rd parties to develop pricing and details for review by the marketing manager.
Manage logistics and execution for marketing events and sales tradeshows (approximately 10–15 smaller marketing events per month, 4-5 larger Sales Tradeshows annually).
Coordinate product delivery to event locations, ensuring accurate quantities arrive on schedule.
Coordinate delivery of marketing and collateral materials (signage, samples, promotional items) for each event.
Collect and maintain an organized archive of post-event photography for use in recaps, social content, and reporting.
Preferred Qualifications and Experience:
Proficiency in Microsoft Excel
Familiarity with AI tools
Project management or event management experience preferred
Experience in Food & Beverage CPG preferred but not required
