This is afull-time, onsiterole responsible for coordinating facilities operations and organizing internal and external events, ensuring a smooth and engaging experience for employees, guests, and vendors. You will work closely with cross-functional teams and external partners to manage logistics, supplies, and services that support our vibrant workplace culture.

Where You’ll Make a Difference
- Create and maintain schedules for events, corporate visitors, and vendors
- Coordinate with vendors to customize IFF awards, apparel, and branded supplies
- Manage purchasing for Facilities via SAP, Zycus, and/or Simfoni
- Support onboarding of new IFF employees
- Assist with safety and environmental compliance in Facilities operations
- Oversee common areas and liaise with cleaning staff to ensure cleanliness
- Monitor supply closets and ensure materials are stocked
- Collaborate with the onsite Catering Coordinator to maintain pantry areas
- Organize internal meetings, workshops, customer visits, and logistics
- Direct catering services, assist with orders, deliveries, and room setups
- Coordinate meetings across time zones and manage transportation logistics
- Manage budgets and expenses for employee community events
- Book and set up conference rooms and ensure event timelines are met
- Communicate with event hosts and manage post-event surveys and feedback
What Makes You the Right Fit
- Associate’s or Bachelor’s degree in Business Administration or related field
- 1+ years of experience in facilities coordination, event planning, or administrative support
- Strong organizational and multitasking skills
- Excellent communication and interpersonal abilities
- Proficiency in Microsoft Office (Excel, PowerPoint, Outlook)
- Experience with SAP, Zycus, Simfoni or similar systems (preferred)
- Ability to work independently and collaboratively in a fast-paced environment
- High attention to detail and customer service orientation
